This privacy notice covers visits to the workplace pension landing page and the appointment booking offered on it. Further information about data processing may be required for subsequent advice, intermediation or contract administration.

2. Website hosting and security

The website is hosted using Cloudflare Pages, provided by Cloudflare, Inc., USA. When you access the site, Cloudflare processes technical connection data, including your IP address, access time, requested address, browser and device information and, where applicable, the page you visited previously. This serves to deliver, maintain the availability of and protect the website.

The legal basis is Article 6(1)(f) GDPR. My legitimate interest is to provide a secure and reliable website. Cloudflare may also process data outside the EU or European Economic Area (EEA) through its international infrastructure. In its data processing terms, Cloudflare identifies the EU–US Data Privacy Framework and, where necessary, Standard Contractual Clauses as safeguards for transfers. 3. Appointment preparation form

The form collects your name, email address, employer, whether you already have a workplace pension, the reason for your appointment and your preferred consultation format. Your phone number and department are optional. Please do not enter health information, payslips or contract documents.

While you fill in the form, the page script initially processes your details only in the open browser window. It does not set its own cookies or store those details in local browser storage. Browser features such as autofill depend on your own settings. Your details are sent to Calendly for prefilling only after you consent and click “Continue to appointment selection”. Clicking this button does not itself complete a booking.

4. Appointment booking with Calendly

I use Calendly, LLC, USA, for online appointment selection. This website does not load an embedded Calendly calendar before you consent. After consent, Calendly receives your form details and technical connection data, such as your IP address. To prefill the booking, your details are passed in the calendar URL. They may therefore also appear in connection logs or, when opened directly, in your browser history. Please do not share a prefilled booking link with other people.

The optional activation of the embedded calendar is based on your consent under Article 6(1)(a) GDPR. Where non-essential information is stored on or accessed from your device, consent is required under section 25(1) of the German Telecommunications Digital Services Data Protection Act (TDDDG). You can manage the provider’s additional cookie settings in Calendly. Organising the consultation you request, including confirmations and appointment changes, is based on Article 6(1)(b) GDPR.

Calendly processes booking data on behalf of its customers; it acts as a controller for certain purposes of its own. Processing in the USA is possible. Calendly describes its participation in the EU–US Data Privacy Framework and other safeguards in its privacy notice; the Calendly data processing terms also apply.

You can remove the embedded calendar using “Close calendar / withdraw consent”. This stops further loading of that calendar on this page. It does not automatically delete data already transferred, existing bookings or cookies held by Calendly. You can contact me about any further requests. Withdrawal does not affect the lawfulness of processing before you withdrew consent.

Using Calendly is optional. You can instead arrange an appointment by phone or email using the contact details above. A direct Calendly link opens the provider’s website and also transmits connection data when opened.

5. Calendar management with Apple iCloud

I use Apple Calendar with iCloud to manage my consultations. Appointment details are stored through iCloud and synchronised with my connected devices. These may include your name, email address, date and time, and booking details included in the calendar entry. Organising the consultation you request is based on Article 6(1)(b) GDPR.

Apple identifies Apple Distribution International Limited in Ireland as the Apple entity responsible for personal data relating to people in the EEA. Apple and its service providers may also process data outside the EEA, particularly in the USA. Apple describes its use of Standard Contractual Clauses for international transfers from the EEA. Information and contact details for obtaining a copy of these safeguards are available in the Apple privacy policy.

6. Contact by email or phone

When you contact me, I process your contact details, the content of your enquiry and any other information you choose to provide in order to respond. My business email account is hosted by IONOS; the respective email providers are involved in transmitting messages.

If your enquiry concerns a requested consultation or steps prior to entering a contract, the legal basis is Article 6(1)(b) GDPR. I process other enquiries under Article 6(1)(f) GDPR based on my legitimate interest in responding. “Send details by email” only opens a draft in your email application. It is sent only when you send it yourself.

7. Sharing with NEURA and other recipients

To coordinate consultations, NEURA receives your name, department (if provided), and the date and time of the booked appointment. Recipients are the contacts responsible for appointment coordination at Neura Engineering GmbH or Neura Robotics GmbH, as applicable. Sharing is limited to the details required for that coordination. Consultation content, contract information and consultation outcomes are not part of this organisational notification.

The legal basis for the necessary appointment coordination is Article 6(1)(f) GDPR. TP Finance and the employer involved have a legitimate interest in coordinating the employee consultations offered. Your opposing interests must be taken into account; you may object on grounds relating to your particular situation. Please contact Tiago Pinto using the details above.

The website form itself does not send a message to NEURA; TP Finance provides the organisational notification as part of appointment management. Other recipients in the process described are the providers used for hosting, appointment booking, calendar management and communication. Sharing data for subsequent workplace pension contract administration will be explained separately.

8. Retention periods

Personal data is retained only for as long as needed for the purposes stated. Relevant criteria include handling your enquiry, conducting and following up on the appointment and, where applicable, the subsequent business relationship. Statutory retention obligations or the need to establish, exercise or defend legal claims may justify longer retention. Data is deleted when the purposes no longer apply and no basis for retention remains. Technical logs are also subject to the respective providers’ retention processes required for operations and security.

9. Your rights

Subject to the applicable legal conditions, you have the right of access (Article 15 GDPR), rectification (Article 16), erasure (Article 17), restriction of processing (Article 18) and data portability (Article 20). You may withdraw consent at any time with effect for the future. Please use the contact details above to exercise your rights.

Right to object: Where processing is based on Article 6(1)(f) GDPR, you may object under Article 21 GDPR on grounds relating to your particular situation. You may object to processing for direct marketing at any time without giving such grounds.

You may lodge a complaint with a data protection supervisory authority, particularly in the place where you live or work or where you believe an infringement occurred. The authority responsible for my business location is the State Commissioner for Data Protection and Freedom of Information Baden-Württemberg.

10. Voluntary use and automated decisions

You are not legally required to use this online form. The marked mandatory details are needed for the booking process offered here; alternatively, you can contact me by phone or email. The website does not make automated decisions about you that have legal or similarly significant effects.
